How to Edit Text in a PDF Without Acrobat
Fix typos, update dates and add notes directly in a PDF for free in your browser, match the original fonts, and know when converting to Word works better.
Why PDFs are hard to edit
A PDF stores text as positioned pieces on a fixed page rather than as flowing paragraphs. That is why a PDF looks the same everywhere, and also why it is harder to edit than a Word document. Changing a word does not automatically reflow the rest of the paragraph the way a word processor would.
For small changes, such as a typo, a date, a price or a name, editing the PDF directly is fast and keeps the original layout intact. For large rewrites, converting to Word or editing the original source file is usually better.
How to edit existing text in a PDF
PDF Utility's Edit PDF tool runs in your browser. The document is not uploaded, and your original file is never overwritten; you download an edited copy.
- Open Edit PDF and select your document. Enter the password if it is protected.
- Click the text you want to change. It becomes an editable text box in place.
- Type your correction. Use the toolbar to match the font, size and color of the surrounding text.
- Drag the text box to adjust its position, or resize it if the new wording is longer.
- Save the PDF and download the edited copy.
How to add new text
Double-click anywhere on the page to add a new text box. This is useful for filling in simple forms that do not have fillable fields, adding a note for a colleague, or labelling a diagram.
- Choose from common fonts such as Arial, Helvetica, Georgia, Garamond, Verdana and Roboto.
- Apply bold, italic, underline or strikethrough.
- Set left, center or right alignment.
- Use highlight to draw attention to text, or strikethrough to show a deletion in a review.
- Undo and redo any change while you work.
Making edits blend in
The most common giveaway of an edited PDF is a mismatched font. Before typing, look closely at the original text: is it a serif font like Times or Georgia, or a sans-serif font like Arial or Helvetica? Match the size by comparing letter heights with the line above or below. For black body text, make sure the color is pure black rather than dark gray, or vice versa.
What cannot be edited directly
Scanned documents are images of pages. There is no real text to click on, so the words in a scan cannot be edited in place. You can still add new text on top of a scanned page, for example to fill in a blank field. To edit the words of a scan, convert it with PDF to Word, which uses OCR to turn scanned text into editable text.
Signed or certified PDFs may show that the signature is no longer valid after any change. That is intentional: digital signatures protect the document from modification. Ask the sender for an updated copy instead.
When to convert to Word instead
If you need to rewrite paragraphs, change the structure or add several pages of text, convert the PDF with PDF to Word, make your changes in Word or Google Docs, and create a new PDF with Word to PDF. If you only need to add a full new page, such as a cover page or summary, use Insert Content.
Frequently asked questions
Can I edit a PDF for free?
Yes. Edit PDF is free and needs no account. It runs in your browser, so the document stays on your device.
Can I edit a PDF on my phone?
Yes. The editor works in mobile browsers. Tap text to edit it, though a larger screen is easier for detailed changes.
Why can't I click the text in my PDF?
The page is probably a scanned image with no real text. You can add new text on top, but the scanned words cannot be edited.
