How to Save a PowerPoint Presentation as PDF
Share slides as a PDF that looks the same on every device, prepare handouts without PowerPoint installed, and avoid font and layout surprises in the result.
Why share slides as PDF
A PowerPoint file can look different on another computer: fonts get substituted, layouts shift, and people without PowerPoint may not be able to open it at all. A PDF fixes the design in place, opens on any phone or computer, and prevents accidental edits. It is the usual format for sending a deck after a meeting, submitting a presentation, or printing handouts.
How to convert PowerPoint to PDF
PowerPoint to PDF converts the file on PDF Utility's server, so you do not need PowerPoint installed. The presentation is deleted from the server as soon as the PDF is returned.
- Open PowerPoint to PDF and select your PPT or PPTX file (up to 50 MB).
- Start the conversion.
- Download the PDF and scroll through it to check every slide.
What carries over, and what does not
Each slide becomes one PDF page with its text, shapes, images and charts. A PDF is static, so some things do not carry over.
- Animations and transitions: each slide appears in its final state.
- Embedded video and audio: not playable in the PDF.
- Speaker notes: not included; the PDF shows the slides only.
- Hidden slides: check the result and delete any you did not want with Delete PDF Pages.
Avoiding font and layout surprises
If your deck uses a font that is not available on the conversion server, a similar font is substituted, which can change line breaks. Common fonts such as Calibri, Arial and Times New Roman convert faithfully. For a custom brand font, embed fonts in PowerPoint before saving, or check the text-heavy slides carefully in the PDF.
Preparing the PDF for sharing
Photo-heavy decks produce large PDFs. If the file is too big to email, run it through Compress PDF. To combine several decks, or add a cover page or agenda, use Merge PDF and Insert Content. For confidential material, add a watermark or protect the PDF with a password.
Frequently asked questions
Can I convert PowerPoint to PDF without PowerPoint?
Yes. The conversion runs on PDF Utility's server, so you only need a browser and the file.
Are animations kept in the PDF?
No. PDF is a static format, so each slide appears in its final state.
Why do some fonts look different?
Fonts that are not available on the server are replaced with similar ones. Use common fonts or embed fonts in PowerPoint.
