How to Convert Excel to PDF Without Cutting Off Columns
Set up print areas, landscape orientation and fit-to-width scaling so every column of your Excel spreadsheet fits on the PDF page, then convert it for free.
Why spreadsheets break across pages
A spreadsheet has no natural page size. When it is converted to PDF, the workbook's print settings decide where each page ends. With the default settings, a wide sheet is split column by column: columns A to F on page 1, G to L on page 5, and so on. The result is hard to read and easy to misinterpret.
The fix is to set up the print layout in Excel before converting. PDF Utility's Excel to PDF follows the workbook's own print settings, including print areas, orientation, scaling and page breaks.
Set up the page in Excel first
In Excel, open the Page Layout tab and work through these settings for each sheet you want in the PDF.
- Set Orientation to Landscape for wide sheets.
- Select the cells you need and choose Print Area, then Set Print Area, to leave out helper columns and notes.
- Under Scale to Fit, set Width to 1 page and Height to Automatic, so all columns fit across one page.
- Use Print Titles to repeat the header row at the top of every page.
- Check View, Page Break Preview, and drag any page breaks that fall in awkward places.
- Save the workbook.
Convert the workbook to PDF
Excel to PDF converts the workbook on PDF Utility's server with LibreOffice, so you do not need Excel installed. Images and charts are exported at full quality, and the file is deleted from the server as soon as the PDF is returned.
- Open Excel to PDF and select your XLSX or XLS file (up to 50 MB).
- Start the conversion and download the PDF.
- Check each page, especially where charts or merged cells meet a page break.
Common problems and fixes
- Columns still split: set Scale to Fit width to 1 page, or reduce column widths and font size.
- Text too small to read: fit to one page wide rather than one page in total, and let the sheet run over several pages vertically.
- Unexpected extra pages: a stray value or formatting far from your data extends the used range. Clear those cells or set a print area.
- Missing header on later pages: set Rows to repeat at top under Print Titles.
- Formulas instead of values: the PDF always shows calculated values, as they appear in the sheet.
After converting
The PDF is a snapshot of the data at the time you converted it. Keep the workbook for further edits. To combine several exported sheets into one report, use Merge PDF, and to send confidential figures, protect the PDF with a password. If you later need the data back in a spreadsheet, PDF to Excel can extract the tables again.
Frequently asked questions
How do I fit an Excel sheet on one PDF page?
In Excel's Page Layout tab, set Scale to Fit width and height to 1 page, then convert. For large sheets, fit only the width so text stays readable.
Are all sheets in the workbook converted?
The converter exports the printable pages of the workbook. Set a print area on each sheet to control exactly what is included.
Can I convert Excel to PDF without Excel installed?
Yes. The conversion runs on PDF Utility's server, so you only need a browser and the file.
